Translating tax documents for an embassy: SRC statements and turnover tax returns

3 min read

If you are an individual entrepreneur or self-employed, you cannot attach an employer’s letter to your visa application. Income is usually proven with documents from the State Revenue Committee of Armenia (SRC): turnover tax returns, an SRC account statement and registration documents. They are issued in Armenian, and embassies accept only a translated version. For example, the Schengen visa document list of the Czech Embassy in Yerevan states that all documents written in Armenian must be translated into English or Russian and carry the translator’s stamp.

Which tax documents are usually submitted

  • Turnover tax calculation (return) for each quarter. It shows the quarter’s income, the tax rate and the tax calculated. Applicants usually submit the returns for the last few quarters.
  • Declaration on being considered a turnover tax payer. It shows the tax regime and the date from which it applies.
  • Extract from the taxpayer’s personal account card. It shows that there are no tax liabilities, penalties or fines, and the balance on the unified account.
  • State registration document of the individual entrepreneur, which many embassies request separately.
  • Income tax and social payment certificates, if you also receive a salary in addition to your business income.

The exact list depends on the country and the type of visa. For example, the checklist of the German Embassy in Yerevan asks self-employed applicants for tax certificates for profits or sales from self-employment. Always check the current list of your embassy or visa centre. You will find a comparison of several embassies’ requirements in our article on Schengen visas for individual entrepreneurs.

What makes tax document translation special

Tax forms are tables with dozens of lines, rates and amounts. The consular officer compares the translation with the original, so the translation must follow the structure of the original, with the same numbering and in the same order.

  • Figures and dates are carried over unchanged. After translating, we check every amount, the taxpayer identification number, every date and every document code against the original.
  • Terms are translated consistently. For example: ՀՎՀՀ → Taxpayer Identification Number (TIN), ՊԵԿ → State Revenue Committee (SRC), տույժ → penalty, տուգանք → fine. When you translate several documents, the same term reads the same in all of them.
  • Electronic signatures and document numbers are reproduced in the translation, so it is clear that the document was obtained from the SRC electronic system.
  • Lines with zero values are not skipped: the translation must be complete.

Stamped or notarized translation?

For visa applications, most embassies accept a translation certified with a translation agency’s stamp. It is done fully online: the PDF downloaded from the SRC system is enough. If the embassy requires notarization, you need a notarized translation, and the document must reach our office. Some embassies have special rules, for example the Czech Embassy for long-stay visas; see our article on the Czech Embassy for details.
